Frequently Asked Questions for Clients
What happens after I submit a care enquiry?
Once you submit a care enquiry, we’ll review your requirements and check which carers in your area might be a good match. We aim to get back to you within 24 hours (Monday-Friday) with a shortlist of available carers. We’ll put you in direct contact with these carers so you can speak to them on the phone and arrange to meet face-to-face. You can take as much time as you need to find the right person – there’s no pressure to decide quickly. Once you’ve chosen your carer you work with them directly. Sparrow remains available for guidance, support with invoicing and admin, and to help you find additional care when you need it.
How should I choose my carer?
When you receive your shortlist there will typically be 1-5 carers on it. The number varies depending on location, times, type of care needed, and carer availability. Once you have your shortlist you can chat to and meet as many carers as you choose.
You should consider how comfortable you feel with each carer, whether they have relevant experience for your needs, and whether their availability matches yours. Trust your instincts – the right carer will feel like a good fit. You can ask them about their approach to care, their experience with situations similar to yours, and questions about practical arrangements, costs and notice periods. You can also ask your carer or Sparrow to provide DBS documentation, insurance certificates, training records and references.
Remember that although Sparrow have a rigorous carer selection process and do our very best to find carers that we trust, it’s ultimately up to you to decide whether a carer is right for your circumstances and personality.
How do you select your carers?
We only work with carers we’d happily trust to look after our own mum and dad. Every potential carer goes through a rigorous process including written applications, telephone interviews, and face-to-face meetings. We turn down most applicants. For those we do accept, we check references (at least one professional), arrange Enhanced DBS with Adult Barred List checks, ensure they set up appropriate insurance, and provide access to ongoing training. We look for carers who are compassionate, capable, and communicative – the personal qualities that make all the difference in care.
Can I see my carer's DBS check and insurance?
Yes, absolutely. You have the right to ask to see your carer’s DBS certificate and insurance documentation at any time. You can simply ask your carer to provide the information or contact Sparrow if you’d prefer us to speak to your carers and pass on the documents for them.
What types of care can your carers provide?
Our carers provide a wide range of support including personal care, companionship, medication support, domestic help, meal preparation, and dementia care. The specific types of care vary by individual carer based on their experience and training.
When we send you a shortlist, we’ll send you a link to each carer’s profile so you can see what types of care each carer offers. We’re also happy to discuss each of our carers with you to help you to find someone with the right experience for your particular needs.
How quickly can I start with a carer?
Care can begin within just a few days of your first enquiry. The exact timing depends on your carer’s availability and how quickly you are both able to arrange to talk and to meet.
If you need care to start urgently, let us know when you submit your enquiry and we’ll prioritize finding carers with immediate availability and let them know that finding care quickly is a priority for you. Most people are able to start receiving support from one or more carers within a week of their first contacting us.
Are there any upfront costs or commitments?
There are no registration fees, upfront costs, or long-term commitments to working with Sparrow. You only pay for the care you receive. You will be invoiced for any care received during the previous month at the beginning of each new month. Your carer may have a notice period set out in their care agreement (typically 1-4 weeks) depending on your individual carer’s policy. That is something to discuss with each potential carer.
These agreements help clarify terms and protect both you and your carer. If you have questions about care agreements, please get in touch. There is no minimum contract length or tie-in period with Sparrow and if you no longer receive care there will be no further charges from us.
What is a care agreement?
A care agreement is a written document between you and your carer that sets out what you’ve agreed – the care you need, when it will be provided, costs, notice periods, and other important details. It provides clarity and peace of mind for both of you.
Not all carers use a care agreement, as they’re self-employed and choose their own policies. However, we recommend them and you can request your carer use one. We provide a template care agreement that carers can edit and adapt, though we don’t endorse the terms of any particular agreement as each carer can modify it to suit their preferences.
Please make sure you’re happy with any agreement before signing. You should be given a copy and time to read it. Your carer should go through it with you, and you can request changes. Having a written agreement protects both you and your carer, and is particularly helpful if you’re using Direct Payments or other health or local authority funding, as they often require one. Contact us if you’d like to discuss a care agreement.
What if my carer is sick or goes on holiday?
Your carer should give you advance notice of any planned holidays. If you have a care agreement, the notice period will be set out in it. Either you or your carer can ask Sparrow and our network of local carers to provide cover. While we can’t guarantee availability, in practice our network is able to help in most cases.
For unexpected absences or sickness, we’ll do our best to help you find temporary cover from our network. We prioritize helping existing clients, and our carers often support each other. Contact us as soon as you know your carer will be unavailable and we’ll work to try to find you the support you need.
How do I pay my carer and Sparrow?
You will receive an invoice for each carer who works with you at the beginning of each month (usually on the 2nd). Carers’ invoices will include itemised charges for each visit and any agreed mileage or expenses. You pay carers directly, typically by bank transfer, though you can arrange other payment methods with them such as cash or cheque if you prefer.
You will also receive a separate invoice for Sparrow’s 10% service fee which excludes any mileage or expenses. We usually recommend setting up a variable direct debit for Sparrow’s fee, which automatically adjusts each month based on the care you’ve received. It means you only need to remember to pay your carer(s). If you prefer you can also pay us by bank transfer, online card payment on your invoice, by calling us on 01434 444 888 or by sending a cheque.
What if I have concerns about my carer?
We usually receive excellent feedback about the carers we work with, but occasionally issues can arise. Since your carer works directly for you, it’s often best to discuss the issue with them first.
It’s important to understand that Sparrow is not a care agency – our carers run their own businesses and are directly responsible to you for their care. This means we can’t manage the care itself or direct how carers work. However, you’re not on your own. If there’s an issue you’d like to discuss, please get in touch any time on 01434 444 888 or hello@sparrowcarers.co.uk. We’ll listen, offer support or advice where we can, pass on messages, or have a quiet word with your carer if helpful.
If there’s been a breakdown in trust or you’ve lost confidence in your carer, it may be best to part ways. If you’d like us to, we’re always happy to help you find another carer who might suit you better.
Frequently Asked Questions for Carers
Is Sparrow and self-employed care the right fit for me?
Self-employed care isn’t for everyone, and that’s absolutely fine. It works best if you’re:
- Based in the North East – we are currently looking for new carers in Northumberland, Tyneside, North Eastern Cumbria and Northern County Durham
- Self-motivated and organised – you’ll be running your own business and responsible for your clients
- Comfortable with some uncertainty – building a client base takes time, and there are no guarantees about finding work immediately
- Looking for something long-term – self-employment works best when you’re committed for years, not months
- Happy to be part of a community – Sparrow carers support each other and we expect you to engage with the network
We provide extensive support to help you succeed, but you’ll need to be proactive too. If you prefer the security of regular employment or aren’t ready to take on business responsibilities, agency work might suit you better right now.
Still not sure? The best way to find out is to request our information pack, which will answer most of your questions. Once you’ve had a look at that, feel free to give us a call on 01434 444 888 to talk things through.
What makes an outstanding Sparrow carer?
At Sparrow we care more about who you are than what’s on your CV. Experience is valuable, but it’s no substitute for being genuinely motivated to provide the best care you can.
We look for three key qualities:
Caring – You’re motivated by kindness and genuine care, not just self-interest. You go the extra mile for your clients and support fellow carers too.
Communicative – You’re proactive, responsive and easy to get hold of. You keep in touch with clients, families and Sparrow, and you stay connected to our carer network.
Capable – You’re self-reliant, take initiative and trust your judgement – but you also ask for support when you need it. Most of all, you do what you can to brighten someone’s day.
If this sounds like you, you’re probably in the right place.
Do I need formal care experience to work with Sparrow?
Not necessarily. Experience can be valuable – especially if you’ve worked as a carer or nurse – but it’s no substitute for being kind, reliable and genuinely motivated to provide exceptional care. We’ve met long-time professionals we wouldn’t trust to care for our own mum and dad, and people with no paid experience who clearly have everything it takes to be outstanding self-employed carers.
That said, we know some things can only be learned over time. Clients often really value carers with professional backgrounds. All else being equal, we prefer carers with experience – but it’s not a requirement.
If you’re brand new to care and haven’t supported anyone in your personal life either, we may encourage you to gain experience with an agency first or take a relevant hands-on qualification. But if you’re caring, competent and communicative, we’d love to hear from you – whatever your background.
Where do Sparrow operate?
Sparrow is based in Hexham, Northumberland, and we support self-employed carers working throughout Northumberland, North Eastern Cumbria, and Tyneside. We’re also looking to add carers in Northern County Durham soon.
We’re not currently able to support carers outside this area – unless you’re nearby and we really click! (In which case, we might be persuaded to stretch our geographic boundaries just a little.)
We don’t offer live-in care and we can’t offer sponsorships or help with relocations.
How much can I earn as a self-employed carer?
As a self-employed carer, you decide how much to charge – Sparrow doesn’t put any limits on your earnings. Most of our carers charge £22-25 per hour (often more for evenings and weekends).
Here’s what that looks like in practice:
- A part-time carer working 15 hours a week at £25/hour earns £19,500 per year
- A full-time carer averaging 35 hours a week at £25/hour earns £45,500 per year
With £0 fees for carers and most of your costs covered, you keep 100% of what you earn. Finally, the chance to earn a really good wage as a carer!
Important: It takes time to build your client base, so earnings typically start lower and grow as you become established. We do everything we can to help you find clients, but there are no guarantees – especially in the early months.
How much do Sparrow charge carers?
Nothing. Sparrow never charges carers any fees.
You keep 100% of everything you earn. We cover the costs of your DBS check, update service, insurance, training, invoicing systems, accountancy support, carer community platform and more – all at no cost to you.
Instead, we charge your clients a separate 10% service fee. This means you get the full rate you agree with your clients, while they benefit from our support in helping them find outstanding carers, offering advice and signposting, and supporting them to find cover or additional care should they ever need it.
It’s a simple model: carers pay nothing, clients pay a small fee for the peace of mind and support we provide.

Do I need to be confident using technology to be a Sparrow carer?
We’ve made things as simple as we can, even if you’re not a tech whizz. That said, you will need a certain level of comfort with technology. Here’s what you’ll need:
- Either an Apple or Android smartphone (iOS 15+ or Android 9+). You’ll need this to access apps, including our carer community app, which we use to communicate with you about potential clients.
- The ability to respond quickly via app, email and text. We really value prompt, clear communication. If you can only check in occasionally or miss messages, it can make things tricky – sometimes even leading to lost clients for you or other carers.
It’s all pretty simple (even for some self-confessed technophobes we’ve worked with), but if downloading a few apps or staying in regular contact feels overwhelming, Sparrow might not be the right fit.
What if I'm already working as a self-employed carer?
One thing to keep in mind: we ask all our carers to use the systems we’ve set up for you. These tools are free and designed to make your life easier over time, but there will be some learning and adjustment upfront. If you’re happy with your current systems and don’t want to switch, we might not be the right fit for each other.
Can I be a self-employed carer without Sparrow?
Sparrow offers extensive support that saves carers time and money, but it’s not essential. We charge no fees to carers – you keep 100% of what you earn. However, your clients pay our 10% service fee, so if you don’t need our support and can save your clients that cost, going solo is definitely worth considering.
If you’re determined and confident about setting up independently, we’re glad you’ll be out there providing independent care. We need more self-employed carers like you! Feel free to give us a call if you’d like to talk it through.
